Protecting the privacy of Users of the PWN.PL website (the “Service”) is important to us. We ensure the security of the personal data entrusted to us and make every effort to keep imroving the level of this protection.

In order to explain to our Users the principles and manner of collecting, processing and using information about the Users of the Website, below, we have a document that clearly explains the issue of the protection of the privacy of our Users, so that they can feel safe and enjoy the use of the services offered on our Website.

I. WHO IS THE ADMINISTRATOR OF THE PERSONAL DATA OF THE WEBSITE USERS?

The Administrator of the Users’ personal data, i.e. the entity responsible for ensuring the security of the Users’ personal data (“Administrator”), is “Wydawnictwo Naukowe PWN” S.A. Their registered office is in Poland at 2 Gottlieb Daimlera Street, 02-460 Warsaw, as entered into the register of entrepreneurs kept by the District Court for the capital city of Warsaw – XIII Commercial Division of the National Court Register, under KRS number 0000067444, NIP: 526-01-52-235.  Share/contributed capital: PLN 4,250,606.00.

III. WHAT DATA DO WE COLLECT ON THE WEBSITE AND FOR WHAT PURPOSE?

The scope and purpose of our data collection depends on the User’s activity on the Website.

Placing an order on the Website

  • If it is possible for the User to place an order for products offered by us on the Website, their personal data is processed in order to process the order placed
  • In some cases, placing an order requires an account on the Website.Providing data marked as mandatory is necessary for the execution of the order, and failure to provide it will result in the order not being accepted. Providing other data is optional.
  • Personal data is processed: in order to perform the order (including the consideration of any complaints) – the legal basis for the processing is the necessity of processing for the performance of the contract; in the scope of the data provided optionally, the legal basis for the processing is consent/in order to fulfil the statutory obligations incumbent on the Controller, resulting in particular from tax regulations and accounting regulations, consisting of, for example, the need to issue a bill for the sale of goods and its archiving – the legal basis for the processing is a legal obligation.for the purpose of possible establishment, investigation, or defence against claims – the legal basis for the processing is the legitimate interest consisting in the protection of our rights./for analytical and statistical purposes – the legal basis for the processing is the legitimate interest consisting in conducting analyses of the Users’ activity on the Website, as well as their shopping preferences, in order to improve the functionalities used.Creating an account on the Website-
  • If it is necessary to create an account on the Website, the User is asked to provide the necessary data to create and operate the account, i.e. e-mail address, login and password – or give consent to download this data from the Facebook or Google platform.Providing data marked as mandatory is necessary to create an account, and failure to provide them results in the inability to create an account on the Website. Providing other data is optional. If you register using Facebook or Google, we will only collect the data necessary to register and operate your account with your consent.

Contact Forms

If you wish to contact us, e.g. to ask questions about our offer, you will provide the personal data marked as mandatory in the form. Providing other data is optional.

Personal data is processed:

  • in order to identify the User and answer the question contained in the contact form – the legal basis for the processing is the performance of a contract.
  • for analytical and statistical purposes – the legal basis for the processing is the legitimate interest consisting in conducting an analysis and statistics of issues reported by Users. For example: in order to improve the functioning of the Website or to improve our offer.

Newsletter

We provide newsletter services to users who have provided us with their e-mail address for this purpose, i.e. providing commercial information about the products or services we offer. In addition, with your separate consent, we may provide you with a newsletter service regarding products or services offered by our partners. Providing this data is voluntary, but necessary to send the newsletter.

Personal data is processed:

  • in the case of sending marketing content to the User as part of the newsletter – the legal basis for the processing is the legitimate interest, and if the User has consented to receive marketing content about our partners.
  • in order to possibly establish, pursue or defend against claims – the legal basis for the processing is the legitimate interest consisting in the protection of our rights.
  • for analytical and statistical purposes – the legal basis for the processing is the legitimate interest consisting in conducting analyses of Users’ activity on the website, in order to improve the functionalities used and improve our offer.
  • Users’ data, which are collected automatically after entering the Website

In order to enable the provision of the service and to protect copyrights, as well as for statistical and billing purposes, the Website processes data characterising the manner in which Users use the Website services. To do this, the server:

  • monitors the IP address from which the User connects,
  • Collects statistical information about the pages viewed.

The Website does not store any information about the hardware configuration of the computer or programs installed on the User’s computer.

The IT system used by the Website automatically collects data related to the device used by the User to connect to the Website.  This data is collected only for statistical purposes and concern: device type, operating system, type of web browser, screen resolution, colour depth, IP, Internet service provider, or address of access to the Website.  This is used only in the process of optimizing the Website in order to ensure the greatest possible convenience of use, which is a legitimate interest.

This data is never combined with other data and is only used for statistical analysis and mechanisms for correcting system errors.

IV. HOW LONG DO WE PROCESS YOUR PERSONAL DATA?

The period of data processing depends on the type of service provided and the purpose of the processing. As a rule, data is processed:

  1. for the duration of the service, or until the completion of the order
  2. until you withdraw your consent
  3. until an effective objection is raised
  4. until the deletion of the data is successfully requested

The period of data processing may be extended if the processing is necessary to establish, pursue or defend against possible claims, and after this period, only in the case and to the extent that it is required by law. For example, according to the current Accounting Act, we are obliged to archive accounts for 5 years, counting from the end of the calendar year in which the tax payment deadline expired.

V. WHAT ARE YOUR RIGHTS?

We guarantee the implementation of all rights of every person whose data we process, including the right to:

  1. access to data, including obtaining a copy
  2. erasure of data
  3. data portability
  4. rectification
  5. restriction of processing
  6. withdraw your consent at any time (which does not affect the lawfulness of any processing that was carried out before the consent was withdrawn)
  7. objection
  8. lodge a complaint with the President of the Personal Data Protection Office

VI. WHO DO WE SHARE DATA WITH?

If it is necessary to deliver an order placed on the Website, personal data may be made available to postal operators or couriers, but only for the purpose of delivering the order.

On the basis of an appropriate agreement, personal data may be transferred to entities processing data on behalf of the Administrator, including for example, IT service providers, marketing agencies, etc.  Such entities only process data in accordance with our instructions, with confidentiality and security. We have the right to control the manner in which the data entrusted to us is processed.

In other cases, personal data may be disclosed to authorised entities only on the basis of legal provisions.

VII. TRANSFER OF DATA OUTSIDE THE EOG

We do not transfer your personal data outside the EOG.

VIII. PROFILING

Personal data may be processed, provided that a separate consent is given, in an automated manner, i.e. in the form of profiling. The consequence of profiling is the assignment of a profile to a given person in order to make decisions concerning him or her, or to analyse or predict his or her preferences, behaviours and attitudes.

On the basis of profiling, we perform analyses that result in:

  1. optimisation of the Website (e.g. appearance, content, offers) in terms of Users’ preferences
  2. recommending the content of the Website in accordance with the activity profile
  3. running ads targeted to designated audiences
  4. sending a newsletter tailored to the preferences of the Users

This data is not processed for automated decision-making in relation to Users that could affect the rights of Users.

IX. COOKIES POLICY

The website uses ‘cookies’. Cookies are small text files placed on Users’ devices (e.g. computers) via web browsers. These files allow certain information to be stored on the User’s device and then read by the service that created these files. Cookies usually contain not only the domain name of the website from which they originate, but also the time they are stored on the end device and a unique number.

Cookies are used by us for the following purposes:

  1. Adjusting the content of the website to the individual preferences of the User and optimising the use of websites by the User, (cookies allow us, in particular, to recognise the User’s device and display the website appropriately, so that it is best suited to the User’s individual needs).
  2. Maintaining the Website User’s session after logging in (this is extremely useful for the User, as it prevents the need to log in again (enter login and password) on each subsequent subpage of the website).
  3. Creating statistics (so that we can better understand how Users use our websites and, as a consequence, enable us to improve the structure and content of these websites).
  4. provide Users with advertising content corresponding to their individual preferences
  5. the Website does not store any information about the hardware configuration of the computer or programmes installed on the User’s computer.
  6. changing cookie settings.
  7. Usually, the User’s web browser allows cookies to be stored on the User’s end device by default. At any time, however, Users of the website have the ability and right to change the settings for cookies. In order to change the cookie settings, Users should read the detailed information on the possibilities and methods of handling cookies, which are available in user settings
  8. If the User does not agree to the placement of cookies on their device, they may block their placement by properly configuring their web browser. Information on how to do this can be found in the help files of your web browser. Unfortunately, if you block cookies from the Website, we cannot guarantee its correct operation. If the User does not change the settings in the field of cookies, these files will be placed on the User’s end device. This means that we will store information on your device and access that information.
  9. Google Analytics

Cookies are also used to enable the Google Analytics function, thanks to which we obtain and analyse information on, for example, the number of pages visited, the effectiveness of our marketing campaigns or the time spent on the Website. We only use this information to improve the quality of the Service.

X. CHANGES TO THE PRIVACY POLICY

The policy is reviewed on an ongoing basis and updated if necessary. The current version of the policy has been in force since 9 May 2019.
